Early check-in request card in Japanese

Print a wallet-size card that asks, in polite Japanese, for early check-in — and hand it over instead of trying to mime it at the desk.

This tool only prints what you type. It gives no medical advice, makes no diagnosis and guarantees no translation of anything you write yourself.

How early check-in actually works in Japan

Check-in in Japan is usually around 15:00. Earlier entry is often chargeable or simply unavailable, but leaving your bags at the desk is normal and free.

The exact sentence on the card

The Japanese side prints チェックイン時刻より早く到着しました。部屋に入れる時間を教えてください。 — "I have arrived before check-in time. Please tell me when the room will be ready.". It is phrased as a request rather than an instruction, which is what makes it work: 〜していただけますか leaves the desk room to say no, and a desk that can say no comfortably will usually tell you what it can do instead. Your booking name goes on as 予約名: so staff can find the reservation while they read.

Add the rest of your stay to the same card

The full tool carries twelve requests — early check-in, late check-out, luggage storage, a non-smoking room, a quiet room, adjacent rooms, an extra futon or a baby cot, an extra pillow, an earlier breakfast, the Wi-Fi password, a taxi and luggage forwarding. Three or four on one card get a better answer than eight, so the tool warns you when the card starts getting crowded.

Printing it before you go

The card is 91 by 55 millimetres and ten fit on one A4 or US Letter sheet with cut lines, as a one-page PDF printed at 100 percent scaling. A6 gives four larger cards, A5 gives one. There is also a 1080 pixel PNG for your phone, which is the version to use when you are standing at the desk with a suitcase in each hand. Nothing is uploaded: the booking name and the request are typed into your own browser tab and the PDF is built there, so the card never touches a server.

Please do say no

The card ends with 難しい場合は、そのままお伝えください。ありがとうございます。 — if this is difficult, please just say so, thank you. It is there on purpose. Japanese service culture makes a flat refusal awkward, so an explicit invitation to refuse is what turns a vague answer into a useful one.

Frequently asked questions

How do I ask for early check-in in Japanese?

チェックイン時刻より早く到着しました。部屋に入れる時間を教えてください。 That is the sentence the card prints. Said or shown, it reads as a request rather than a demand, which is the register a Japanese front desk expects.

Is early check-in usually possible in Japan?

Check-in in Japan is usually around 15:00. Earlier entry is often chargeable or simply unavailable, but leaving your bags at the desk is normal and free.

Should I ask at check-in or in advance?

At the desk on arrival is fine for most of this, and it is better than emailing ahead in English that may not be read. Anything involving a room change or a meal time is easier the earlier it is asked, and a ryokan needs more notice than a business hotel because the rooms and meals are prepared per guest.

Is my booking name stored anywhere?

Nothing is uploaded: the booking name and the request are typed into your own browser tab and the PDF is built there, so the card never touches a server.
